Data is stored within the UK or in compliant jurisdictions.
We retain personal data only for as long as necessary for club administration, safeguarding, legal obligations, insurance requirements, and legitimate interests such as:
• Allowing former members to rejoin without losing their membership history
• Maintaining accurate statistical, performance and historical club records
• Retaining safeguarding or welfare records in line with EA and statutory guidance
• Fulfilling insurance, legal or regulatory requirements
• Verifying past participation, eligibility, volunteer activity or disciplinary outcomes
• Core membership history
(name, EA URN, membership dates, results, participation history)
Retained for up to 10 years, or longer where needed for historical or statistical purposes.
• Safeguarding & welfare records
Retained in accordance with EA and statutory guidance — may be up to 75 years depending on case type.
• Medical and emergency contact information
Deleted when membership ends, unless required for safeguarding or incident investigation.
• Financial and payment data
Retained for 7 years under HMRC rules.
• Email logs and message history
Retained for up to 2 years, unless required longer for administration.
• Website accounts
Deleted upon request or after prolonged inactivity.
Under UK GDPR, you have the right to:

All emails sent by the system contain a tracking pixel. This is used to track whether each email has been opened by the recipient, and when. This information can be viewed by those users of the system with permission to view email delivery reports. We do not display any information regarding the location of the recipient. Note that the tracking pixel is only activated if the recipient chooses to download images into their email client.
We, NEJ Running Club, make use of the myClubhouse software supplied by Simmetrics Ltd to process personal data we include on our myClubhouse website in accordance with our privacy policy set out above. Simmetrics Ltd processes your personal data on our behalf and they can only do so in accordance with our written instructions.
